Terms and Conditions

1) Medical Insurance

Thrive Physio operates on a self-pay basis only. Direct payment from medical insurance providers is not accepted.

  • Patient Responsibility: It is your sole responsibility to check with your insurance provider prior to treatment regarding your eligibility for reimbursement or any limits on your coverage.

  • Liability: Thrive Physio cannot be held responsible for any non-payment of claims, shortfalls in treatment fees, or disputes between you and your insurer. All fees must be settled with Thrive Physio directly at the time of treatment.

2) Case Management and Third-Party Referrals

If you are referred to Thrive Physio via a Case Manager, Solicitor, or an intermediary (e.g., following a Road Traffic Accident or personal injury claim), the following terms apply:

  • Standard Treatment Fees: The agreed session rate covers the face-to-face (or virtual) clinical consultation and basic clinical note-taking only.

  • Additional Services: Any requirements beyond standard treatment—including but not limited to the production of initial/interim/discharge reports, attendance at Multi-Disciplinary Team (MDT) meetings, or extensive telephone liaison with case managers - will incur additional professional fees.

  • Fee Structure: These services are charged at our hourly administrative rate. A breakdown of these costs can be provided upon request.

  • Liability for Payment: While we may invoice a case management company directly by prior agreement, the patient remains ultimately responsible for ensuring all fees are settled should the third party fail to clear the balance.

3) Consent to Treatment

Your autonomy and comfort is Thrive Physio's priority. In accordance with the Chartered Society of Physiotherapy guidelines:

  • Explicit and Implied Consent: Treatment will only proceed with your consent. This may be explicit and informed consent (verbal agreement) or implied (e.g., following an explanation of a manual technique, you position yourself for that treatment).

  • Patient Comfort: No pressure will be applied to undergo any specific treatment. You have the right to withdraw consent or stop a session at any time. Interventions will only be performed which you are comfortable with and have been fully explained to you.

4) Cancellation and Missed Appointments

To ensure Thrive Physio can provide timely care to all patients, a strict 24-hour notice policy is enforced. 

  • Notice Period: If you need to cancel or reschedule, you must provide at least 24 hours’ notice. Cancellations made with less than 24 hours' notice will not be eligible for a refund or will be charged the full session fee.

  • Discretionary Circumstances: Thrive Physio understands that emergencies happen (e.g., sudden illness). Exceptions to the charge are at the sole discretion of the Clinic Owner.

  • Missed Appointments: If you fail to attend an appointment without notice ("No-Show"), the full fee will be charged. Further bookings will not be permitted until any outstanding charges are settled.

  • How to Cancel: Please notify Thrive Physio via email at info.thrive.physio@gmail.com. This inbox is continuously monitored 7 days a week.

5) Right to Refuse Treatment 

Thrive Physio is committed to providing a safe, respectful, and professional environment for both the therapist and the patient.

 

  • Clinical Discretion: Thrive Physio reserves the right to refuse or discontinue treatment if, in our professional opinion, the requested intervention is clinically inappropriate, unsafe, or unlikely to benefit the patient. In such cases, the reasoning will be discussed with you and, where possible, alternative options will be suggested.

  • Zero Tolerance Policy: Thrive Physio maintains a zero-tolerance policy regarding abusive, aggressive, or threatening behaviour. Thrive Physio also reserves the right to terminate a session and refuse future treatment if a patient’s conduct is deemed inappropriate or if the therapist feels at risk.

  • Health and Safety: Treatment may be refused if the patient is under the influence of alcohol or non-prescription drugs, or if a medical contraindication is identified that was not previously disclosed.

  • Practitioner's Right to Refuse or Discharge: Thrive Physio reserves the right to refuse to assess or treat any individual, or to terminate an ongoing session or treatment plan. Grounds for this include, but are not limited to: aggressive behaviour; a breakdown in the therapeutic relationship; or if the requested treatment is clinically contraindicated or falls outside our scope of practice.

  • Patient's Right to Refuse: As a patient with mental capacity, you have the absolute right to refuse any assessment or treatment suggested by the physiotherapist, even if it goes against clinical advice.

6) Data Protection and Privacy (GDPR Compliance)

Thrive Physio is committed to protecting your privacy and is registered with the Information Commissioner’s Office (ICO).

Information We Collect

To provide safe and effective care, Thrive Physio collects and processes the following:

  • Basic Details: Name, address, date of birth, and contact information.

  • Clinical Records: Notes on assessments, treatments, care plans, and health reports.

  • Diagnostic Data: Results of scans or interventions.

  • Third-Party Info: Correspondence from GPs, consultants, or next of kin.

  • Sensitive Data: Information regarding disabilities, allergies, or underlying health conditions (Special Category Data).

 

How Thrive Physio Uses and Stores Your Data

  • Purpose: This information allows us to create a complete clinical picture, ensuring your treatment plan is appropriate and safe.

  • Security: Electronic records are secured via password protection and encrypted systems.

  • Retention: In line with Chartered Society of Physiotherapy guidelines and legal requirements, adult patient records are kept securely for a minimum of 8 years after the conclusion of treatment.

  • Collection Methods: Data is gathered via registration forms, direct consultation, or referrals from other healthcare professionals.
